Looking after your Private Information

Re-Balance (“we”, “us” or “our”) is a trading arm of MadJam Ltd. We are committed to making sure your privacy is protected. We do this by looking after your personal information carefully and keeping it private from other people. MadJam Ltd is the data controller and is responsible for processing data lawfully under the General Data Protection Regulations (GDPR).

We reserve the right to change this privacy policy from time to time by changing it on the website so please check this page occasionally to ensure that you’re happy with any changes. By using this website and corresponding with Re-Balance, you’re agreeing to be bound by this notice.

What type of Information do we collect?

The personal information we collect might include your name, postal address, telephone number email address, IP address and information regarding what pages are accessed and when as well as information you provide in any communications between us.

We will mainly use this Information to:

  • Carry out our obligations arising from any contracts entered into by you and us

  • Provide the services or goods that you have requested

  • Update you with important messages about an event or services or goods you have requested

  • Keep a record of your relationship with us

  • Contact you about our work and how you can get involved with Re-Balance

  • Invite you to participate in surveys or research

  • Send you communications which you have requested and that may be of interest to you. These may include information about information about campaigns, events, other activities and promotions of our associated companies’ goods and services

Where we are required to collect personal data by law, or under the terms of the contract between us and you do not provide us with that data when requested, we may not be able to perform the contract. If you do not provide us with the requested data, we may have to cancel a product or service you have ordered but if we do, we will notify you at the time.

We will only use your personal data for a purpose it was collected for or a reasonably compatible purpose if necessary. If we need to use your details for an unrelated new purpose we will let you know and explain the legal ground for processing.

We may process your personal data without your knowledge or consent where this I required or permitted by law.

Sensitive Data

If you share your personal experience or the experiences of a friend or relative, we may also collect this information. If you provide us with any Sensitive Personal Information by telephone, email or by other means, we will treat that information with extra care and confidentiality and always in accordance with this Privacy Policy.

You can of course decide if you want to remain anonymous, if you are happy to share your personal details with staff members or if you would like us to share your story with the media or other parties as part of our work telling people's personal stories (for example, on our blog).

A Special Note about the Sensitive Personal Information we hold

Data Protection Law recognises that some categories of personal information are more sensitive. Sensitive Personal Information can include information about a person's health, race, ethnic origin, political opinions, sex life, sexual orientation or religious beliefs.

We will only use this information:

• For the purposes of dealing with your enquiry, training, and quality monitoring or evaluating the services we provide.

• We will not pass on your details to anyone else without your explicit consent except in exceptional circumstances. Examples of this might include anyone reporting serious self- harm or posing a threat to others or children contacting us and sharing serious issues such as physical abuse or exploitation.

• Where you have given us your explicit consent or otherwise clearly indicated to us (for example, by submitting your story through our projects) that you are happy for us to share your story, then we may publish it on our blog or in other media.

Third Party Service Providers working on our behalf

We may pass your information to our third-party providers, agents, subcontractors and other associated organisations for the purposes of completing tasks and providing services to you on our behalf (for example to process payments and send you mailings).

However, when we use third party service providers, we disclose only the personal information that is necessary to deliver the service and we have a contract in place that requires them to keep your information secure and not use it for their own direct marketing purposes. We make sure that they store the data securely, delete it when they no longer need it and never use it for any other purposes.

Please be reassured that we will not release your information to third parties for them to use for their own purposes, unless you have requested us to do so, or we are required to do so by law, for example, by court order or for the purposes of prevention of fraud or other crime.

We will never sell or share your personal information with organisations so that they can contact you for any marketing activities. Nor do we sell any information about your web browsing activity.

We may transfer your personal information to a third party as part of a sale of some or all of our business and assets to any third party or as part of any business restructuring or reorganization, or if we’re under a duty to disclose or share your personal data in order to comply with any legal obligation or to enforce or apply our terms of use or to protect the rights, property or safety of our supporters and customers. However, we will take steps with the aim of ensuring that your privacy rights continue to be protected.

How and why do we use your Personal Data?

We want to give you the best, most relevant information and insight from our interactions together. We can only do this by combining the data we have about you to get the best picture we can of who you are.

We may also use it to respond to your queries, requests and complaints. Handling the information you sent enables us to respond. We may also keep a record of these to inform any future communication with us and to demonstrate how we communicated with you throughout. We do this based on our contractual obligations, our legal obligations and our legitimate interests in providing the best service and understanding how we can improve our service based on your experience.

We may also use it to send you communications required by law or which are necessary to inform you about our changes to the services we provide you, for example, updates to this Privacy Policy. These service messages will not include any promotional content and do not require prior consent when sent by email or text message. If we do not use your personal data for these purposes, we would be unable to comply with our legal obligations.

The data privacy law allows this as part of our legitimate interest in understanding all stakeholders involved in the project and in providing the highest levels of service.

Please note, if you choose not to share your personal data with us, or refuse certain contact permissions, we might not be able to provide some services under The Project. For example, if you’ve asked us to let you know when we are running individual interviews, we can’t do that if you’ve withdrawn your general consent to hear from us.

We will not collect or keep personal information about you unless we need it.
We will not collect more information than we need and we will not keep it longer than we need to.

Technical Data

As you use our site, we may automatically collect Technical Data about your equipment, browsing actions and usage patterns. We collect this data by using cookies, server logs and similar technologies. We may also receive Technical Data about you if you visit other websites that use our cookies. Please see our Use of Cookies statement below for further details.

Our website also uses Google Analytics to track user interaction. We use this data to determine the number of people visiting our site, to better understand how they find us, how they use our web pages and to track their journey and user experience through the website.

Although Google Analytics records data such as your approximate geographical location, device, internet browser and operating system, none of this information personally identifies you to us.

Google Analytics also records your computer’s IP address which could be used to personally identify you but Google do not grant us access to this.

If you wish to change how we use your data, you’ll find details in the ‘What are my rights?’ section below. You are free to opt out of hearing from us by any of these channels at any time.

Photographs and Films

We sometimes take photographs and film at our sessions and events. Before taking any images we will ask for verbal consent from those people we will be filming so that the photographs and films may be used by Re-Balance for the purposes of The Project or future publicity, etc.

Marketing

We will only contact you about our work and how you can support Re-Balance by phone, email or text message, if you have agreed for us to contact you in this manner.

If you agree for us to contact you through one of these channels we will send you information about our work. As well as sharing our latest news, we will contact you about events, our campaigns and the many ways you can help shape our work.

You can update your choices or stop us sending you these communications at any time by contacting hello@re-balance.org or clicking the unsubscribe link at the bottom of the relevant communication.

Please note that when you update your communication preferences it can take up to 28 days to take effect across all of our systems.

Profiling

We may analyse your personal information to create a profile of your interests and preferences so that we can contact you with information relevant to you. We may make use of additional information about you when it is available from external sources to help us do this effectively. We may also use your personal information to detect fraud and credit risk.

Use of cookies

Like many other websites, the Re-Balance website uses cookies. “Cookies” are small pieces of information sent by an organisation to your computer and stored on your hard drive to allow that website to recognise you when you visit. They collect statistical data about your browsing actions and patterns and do not identify you as an individual. It is possible to switch off cookies by setting your browser preferences.

Links to Other Websites

Our website may contain links to other websites run by other organisations. This privacy policy applies only to our website, so we encourage you to read the privacy statements on the other websites you visit. We cannot be responsible for the privacy policies and practices of other sites even if you access them using links from our website.

Similarly, if you linked to our website from a third-party site, we cannot be responsible for the privacy policies and practices of the owners and operators of that third-party site and recommend that you check the policy of that third-party site.

How do we Protect your Personal Data?

Data security matters, so we treat your data with the utmost care and take all appropriate steps to protect it.

We have appropriate security measures in place to prevent personal information from being being accidentally lost, used, altered, disclosed or accessed without authorisation. We limit access to your personal information to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.

The Google Cloud Platform servers we use are located in the EEA. Service Data may be processed on servers located outside of the country where our users and customers are located because Service Data is typically processed by centralized or regionalized operations like billing, support, and security.

Regardless of where Service Data is processed, Google applies the same protections described in their Privacy Notice. When transferring Service Data outside of the European Economic Area, Google complies with certain legal frameworks.

Non-sensitive details (your email address etc.) are transmitted normally over the internet and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk. Once we receive your information, we make our best effort to ensure its security on our systems. Where we have given (or where you have chosen) a password which enables you to access certain parts of our websites, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.

How long will we keep your Personal Data?

Whenever we collect or process your personal data, we’ll only keep it for as long as is necessary for the purpose for which it was collected, including the purpose to satisfy any legal, accounting or reporting requirements.

When deciding what the correct time is to keep data for we look at its amount, nature and sensitivity, potential risk of harm from unauthorised use or disclosure, the processing purposes, if these can be achieved by other means and legal requirements.

For tax purposes the law requires us to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they stop being customers.

In some circumstances we may anonymise your personal data for business planning, research or statistical purposes in which case we may use this information indefinitely without further notice to you.

What are my Rights?

Under data protection law, you have rights including:

  • Your right of access: you have the right to ask us for copies of your personal information.

  • Your right to rectification: you have the right to ask us to correct information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

  • Your right to erasure: you have the right to ask us to erase your personal information in certain circumstances.

  • Your right to restriction of processing: you have the right to ask us to restrict the processing of your information in certain circumstances.

  • Your right to object to processing: you have the right to object to the processing of your personal data in certain circumstances.

  • Your right to data portability: you have the right to ask that we transfer the information you gave us to another organisation, or to you, in certain circumstances.

  • You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
